Terms of service

These terms govern the use of Kaerva. By registering a company or using the service, you agree to them.

Accounts & approval

Anyone may register a company, but companies are activated only after review and approval by the platform owner. We may decline or revoke accounts that misrepresent a company, misuse the platform, or breach these terms. The person who registers becomes the company owner and is responsible for the employee accounts they create, for keeping credentials secure, and for actions taken under those accounts.

Acceptable use

Kaerva is for genuine company administration. You agree not to use it to store unlawful content, to send spam through its announcement or email features, to attempt unauthorised access to other companies' data, or to disrupt the service. Employee personal data entered in the system may be used only for legitimate employment and company communication, and only by people whose role permits it.

Your data

The company owns the records it creates and remains the data controller for its employees' information. We process those records solely to provide the service, as described in our privacy policy. You can export your data at any time, and request deletion when you leave.

Service & availability

We work to keep Kaerva fast, secure and available, but the service is provided "as is" without warranties of uninterrupted availability. Companies should retain their own copies of critical documents such as letters, registers and payroll records. Features may evolve; material changes that affect your use will be communicated.

Fees

Current registrations are free. If paid plans are introduced, pricing will be communicated clearly in advance, and no company will be charged without explicitly opting in.

Liability

To the maximum extent permitted by law, Kaerva is not liable for indirect or consequential losses arising from use of the service, including losses from decisions made on the basis of attendance, leave or payroll figures in the product. Nothing in these terms limits liability that cannot be limited under law.

Termination

You may stop using Kaerva at any time and request deletion of your data. We may suspend accounts that breach these terms, with notice where practical.
